A difference can come from a receipt nobody entered, a pick entered twice, stock in the wrong bin or a miscount. VectisERP keeps each receipt, pick and count as its own entry, so you can check them one by one.

Workflow

Follow one purchase order from release to shelf.

Release the order, download the PDF for your supplier, receive what arrives, close what does not. Receipts change stock. Closing the rest of an order does not.

Purchasing

A delivery that comes in parts.

Say 7 of 10 gallons arrive. Enter 7, with the lot number if you track lots, and the order shows 3 still due. If the other 3 never come, close the order short and write down why. If you typed the wrong number, reverse the receipt: the original line stays, with the correction next to it, unless the stock has already been picked.

Changing a released order takes a reason and raises its revision number. The PDF and Excel file say which revision they came from.

History

When the count is off, read the entries.

Each receipt, pick and count is its own entry, with a user, a time and a quantity. Search by item or document number, then read down the list until the difference makes sense.

Pick the purchase order, enter what arrived, and add a lot number and expiry date if the item needs them. Whatever has not arrived stays on the order.

Scan items as they leave the shelf. When you count, enter what is on the shelf first. Stock does not change until you post.

Purchase orders and receipts

Write the order, download the PDF, then receive against it as deliveries arrive. The order shows what has arrived, what is still due and what you closed short.

Batches and expiry dates

Each batch keeps its quantity, supplier lot number and expiry date. When you pick, the batch that expires first is suggested, and expired or restricted batches are not offered.

Barcode picking

Scan, or type the code, and enter the customer order. The pick updates the stock and appears in the history. If it was the wrong item, Undo takes back the last pick.

Physical counts

Start a count for a location and enter what is on the shelf. You see the differences before anything is posted, and every difference is posted together as one document.

Plans based on your catalog size.

Plans differ by how many different items you keep in the catalog, how many people can use it and how long the history is kept. Ten pallets of one paint is one item, not ten.

What does VectisERP cover?

VectisERP is inventory management software for small and midsize businesses. It covers items, suppliers, purchase orders, receiving, batches, picking and stock counts. It does not do accounting, payroll or production planning.

Can I import my existing item list?

Yes. Upload a CSV in Master data load and look at the preview. Rows with problems are listed so you can fix them before anything is saved. You can also add items one at a time and export the catalog.

What happens when a supplier delivers only part of an order?

Enter the quantity that arrived against the purchase order. The rest stays open for the next delivery. If it will not arrive, close the remainder and give a reason. If you entered a receipt by mistake, reverse it: the original stays on record with the correction beside it. A reversal is refused if the stock has already been picked, so reverse first and pick after.

Which barcode scanners can I use?

Most USB and Bluetooth scanners can be set to type the code and press Enter, the way a keyboard would. We have not tested every model, so check yours before you rely on it. You can also type the code by hand.

Can I track stock by batch and expiry date?

Yes. Turn on batch tracking for the items that need it. Each batch has its own quantity, and can have an expiry date and the supplier's lot number. When you pick, the batch that expires first is suggested, and expired or restricted batches are left out.

Does it connect to accounting software or online stores?

Not today. You can export the catalog and the history to CSV and use them elsewhere, but nothing synchronizes with another system.

Can I hold separate quantities in different warehouses?

VectisERP records storage locations and bins, but it keeps one total quantity per item. A preferred location is a label, not a separate stock balance. If you need a separate quantity for each warehouse, this version will not do it.

Can I send purchase orders to suppliers?

Not from inside VectisERP. Download the order as a PDF or Excel file and send it from your own email. Then record in VectisERP that you sent it, and later that the supplier confirmed. Downloading the file does not email it or mark it as sent.

What can I try in the public demo?

You get a sample shop, no account needed, with 120 items, 10 suppliers and 10 purchase orders in different states, and the same purchasing, receiving, picking and count screens. To check a barcode scanner, scan one of your own labels on the Picking screen. Use a desktop browser at least 1027 pixels wide. The customer orders are preloaded, so you can pick against them but not create new ones. There are no team logins and no cloud sync, and pairing a phone as a scanner is switched off in the public build. The demo is free.

What happens to information entered in the demo?

Your changes stay in this browser tab, survive a refresh, and are gone when you close the tab. Please use made-up data, not real records. Feedback and email sign-ups do go to our server, separately from the demo.
